Mastering your property portfolio seems like an incredible challenge when you’re first starting out, but it’s actually significantly easier than you might imagine. Once you have the right strategy and ideas in place, there’s often nothing between you and reaching for the stars.
One of the first things you can do is automate and delegate your operations instead of personally collecting rent checks and answering weekend maintenance calls. The best way to do this is to outsource to a management firm or, if you find a good piece of software, use software instead.
The latter is actually one of the best ways to do the heavy lifting these days. It tends to be less expensive than using a property management firm, and you get more services included.
You can screen tenants, automate service crews to maintain properties, and get tenants to sign their leases digitally.

It’s also well worth standardising tenant screening. You want every applicant across your entire portfolio to meet the same requirements. It is possible to run a rental business while also accommodating higher-risk tenants, but you’ll generally need to charge a premium. This type of tenant category is rare. Tenants that can pay more money but are also unreliable are a small class of tenants, so in general most landlords prefer to screen tenants first to keep standards in the industry high.
You can look at income-to-rent ratios, minimum credit scores, eviction checks, and background checks.
Once you remove emotion from the process, you’ll find it’s much easier. You simply select the tenants who are going to be suitable for your apartment rentals.
If you aren’t doing so already, it’s a good idea to optimise your financial and tax strategies. Of course, you’ll need to keep this 100% legal, but you should also work with an accountant or a reputable firm to determine how much tax you should really be paying, given the nature of your business.
As an investment, real estate has the unique advantage of being able to offer depreciation-based tax benefits. Essentially, properties are assumed to depreciate in a linear form over 27.5 years for residential properties, leading to significant tax savings. You can use a cost seg calculator to quickly estimate the potential tax benefits of a cost segregation study before committing to one.
If you decide to segregate, you can often front-load depreciation savings forward in time. The depreciation horizon for some building systems can be as little as five years.
Finally, it’s well worth consolidating all of the metrics associated with your portfolio to check on its financial health regularly. You’ll want to conduct quarterly reviews of key performance indicators, such as vacancy rates and average days on the market. You could also look at cash-on-cash returns to tell you how much money you’re really making.
Once you start tracking all of these metrics, you can quickly determine which properties are underperforming and struggling to attract reliable tenants. Once you know this, you can put systems in place to improve them or potentially sell them.
